We are a Charitable Incorporated Organisation registered in England and Wales (1198071). The registered address is 38 Belle Vue Road, London E17 4DG.
Synfonia is a registered data controller under the Data Protection Act 2018. Our registration number in the Data Protection Public Register is ZB312095. The Data Controller is Synfonia. The person responsible for data protection is Andrea Robins, Executive Director.
Purpose of this policy
This policy details how we collect, use and store personal information. It was last updated on 22 March 2022.
Legal requirements
We collect personal information in accordance with the Data Protection Act 2018, the General Data Protection Regulation 2016, and the Privacy and Electronic Communications Regulations 2003.

We are committed to protecting your privacy and to collecting, using and storing your personal information lawfully and with care.
There are specific circumstances in which we may be required to share your personal details with a third party. These are:
- if we are legally obliged to share such information, for example with the police, a regulatory body or bodies, or legal advisors
- in a medical emergency (for those working with us)
Other than in these specific circumstances, we will never share your details with a third party unless we have gained your specific consent to do so.

We use Google Analytics to collect information on how our website is used. Their system logs your Internet Protocol (IP) address but this information cannot be viewed by us. Information available to us includes the number of people who visit the site, which pages they’ve visited, how they arrived at each page, general geographical location etc.

Information we collect through our education work is usually anonymous. Data which can identify individual people is collected and held by the school concerned; the school will provide anonymised data to us which we use to monitor our programmes.
Personal information which can be used to identify a specific person will be collected when we interview or otherwise record them for use in our promotional materials. This might be information such as name, age, school, any special educational needs. In such cases consent will always be obtained in advance. The information will be retained for as long as the promotional material exists. Any information we keep will be stored securely and never in hard copy.

We use Mailchimp to send our newsletters. If you sign up to receive newsletters and other notifications from us your name and email address will be collected and held securely by Mailchimp in accordance with data protection regulations.

We use this information to enable us to steward your donation effectively and to maintain our relationship with you as a supporter. If you confirm that you would like us to be able to claim Gift Aid on your donation we will collect your full name and home address, as required by HMRC. The legal basis on which we collect this information is the consent we obtain from you.
In order to compile information on people we believe may be interested in our work, as a supporter or otherwise, we may collect and store information which is available in the public domain. This may include any philanthropic history and links to other charities. If we have already collected personal details from you, we will link this information to your existing details. The legal basis on which we collect this information is our legitimate business interest in maintaining our relationship with you as a previous, current or potential supporter.
We will collect and store your personal details if you work for us as a permanent or freelance employee. This is in order to fulfil certain elements of our contractual relationship, as well as to maintain effective records. Your contract will give you details of the personal information we will collect. We will retain a permanent record of your employment with us.
We will store Disclosure and Barring Service information, where relevant, on people who are working with us. This will either be a scanned copy of the original certificate or a record of the unique reference number of the certificate. This information will be retained for the duration of the person’s work with us, then for six months after the period of work has finished.
We will collect and store personal information if you apply for a job with us. The recruitment pack will give details of the personal information we will collect. The information will be retained for the duration of the recruitment process; at the end of the process we will remove your details unless we have previously obtained your consent to retain them. As part of the recruitment process we also collect anonymised data on ethnicity, age and gender for monitoring purposes – this data is retained indefinitely to allow us to analyse and report on our performance.

If you email us regarding our work we will retain your email on file for reference, to enable us to respond effectively and to improve our services. The legal basis on which we collect this information is our legitimate business interest in communicating with you effectively.
If you invoice us, or we invoice you, we will retain the relevant details in order to comply with legal and accounting regulations, as well as to maintain our own effective bookkeeping and administrative records. We will retain financial records for seven years. The legal basis on which we collect this information is our requirement to fulfil the contract we have with you and to comply with our legal obligations.
How we store personal information
We will only store your details for as long as is necessary for the purposes you have provided it. All information is securely stored, protected by password and accessible only to staff via their secure login.
We do not keep personal details in hard copy. If you send us a document in hard copy which contains personal details, we will scan it so that it can be stored electronically; the hard copy will be shredded.

You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you.
